Overview

This guide provides an overview of the Stock General screen in Retail Edge. It describes the fields and options available for viewing and managing stock information, serving as a reference for understanding the screen layout and its features.

Stock Screen Tabs

The Stock Screen is broken down into the following tabs:

  • General: All general information about the stock item.
  • Ticket/Signage/Groups: Print tickets, signage, or add/remove stock from groupings.
  • Notes: Free-text notes about the stock item.
  • Popups: Create a popup at POS when this item is selected.
  • Assembled: Contains all information about the assembled item (parts and labour).
  • Pre-Valuation: Information to print on valuation or certificate of sale.
  • Stones: All details about the stones within this item.
  • Design # View: A complete running history of the Design # associated with this stock item.
  • Documents: Storage for documents pertaining to this stock item (e.g. lab certificates).

Base Information Fields

Base Information section on the left side of the General tab

  • Stock # (SKU): The unique number assigned to the item. Generated automatically based on the department and the next ascending number.
  • Supplier: The supplier for the item, selectable from a dropdown list.
  • Invoice: The last invoice number related to the item. If unavailable, use the date in reverse format.
  • Date In: The last date this item was entered into the system.
  • Design #: The supplier’s number for the item (different from the stock number).
  • Department: The department assigned to the item, selectable from a dropdown list.
  • Location: The item’s location within the store.
  • Other IDs: Any alternate IDs associated with the item.
  • Old Stock #: The stock ID from a previous system, if applicable.
  • ID Codes: Custom IDs for grouping items, set up via Administrative → Lists.
  • Stock Type: The type of stock (refer to the Stock Types guide).
  • Special Conditions: Specific conditions associated with the item, such as “pre-loved” or “delicate”.
  • Photo: The Edge can store up to 10 photos associated with a stock item.

Additional Information Fields

Additional information fields

  • Website: Tick to display the item on your website.
  • Spiff %: The commission percentage for sales staff selling this item.
  • Sale UOM: Unit of measure for sales. Default is EACH.
  • Mtl Weight: The weight of the metal in the item.
  • Item Weight: The total weight of the item.
  • Lab Grown: Tick to indicate the item contains lab-grown diamonds.
  • Inactive: Mark items with no stock and no intention to reorder.
  • Discontinued: Displays a date for items no longer reordered but still in stock, preventing accidental reorders.

Pricing Section

Cost Price (Left Side)

Cost price fields

  • Inv. $: Last invoice cost before discounts.
  • Disc.: Percentage and dollar discount for last invoice.
  • Net.: Last invoice cost post discounts.
  • Exp1: Additional costing for the item.
  • Frght: Last freight cost.
  • Box: Boxing cost for items.
  • Cost: The average cost from the time of last invoice entry.

When determining the cost of jewellery, consider not just the supplier price but also freight, boxing, packaging, wages, rent, and daily running expenses. For jewellery stores, average running costs range between 20–40% of gross sales.

Retail Price (Right Side)

Retail price fields — up to 4 price books supported

  • RRP: The Recommended Retail Price as set by the supplier.
  • Lowest: The lowest price you are willing to sell the item for.
  • Current: The current selling price for the item.
  • Recalc: Recalculates RRP, Lowest, and Current Price based on automated pricing markups.
  • Last Sale: Shows the last price at which the item was sold.
  • Special Price: A promotional price for the item.
  • Special Price Start/End: The date range for promotional pricing.

Note: The Edge displays all Cost Prices ex. GST and all Retail Prices inc. GST unless otherwise configured.

Description Fields

Description fields with ABC case-change buttons

  • Description: The primary description of the item, usually used for internal purposes.
  • Marketing Description: A detailed description for marketing purposes.
  • Short Marketing: A concise, catchy description of under 250 characters.

Suggest button and ABC buttons for case formatting

To the left of the description fields is a Suggest button that creates a description based on the attribute details and department. To the right are ABC buttons to change the case of the wording.

Attribute Details

Under the description fields are customised attribute fields set up per department. These are used for recording important detailed information about the stock item, such as ring size, finish type, or watch movements.

Stock # View Section

Displays current stock quantities including committed stock, and allows you to request inter-store transfers or add items to a purchase order.

  • #: Store information (name or number).
  • Avail.: The available quantity to sell at the store.
  • Comitd: The committed quantity of the item still on hand.
  • O/H: Current quantity on hand (Available + Committed = O/H).
  • Sold: How many have sold at the store.
  • DaysIn: When the item was last received on an invoice.
  • POs: How many of this item is on a purchase order.
  • Min# / Max#: Minimum and maximum quantities that should be on hand.
  • Req. IST: Opens the inter-store request form.
  • Add to PO: Adds the stock item to a purchase order for the selected store.

Note: Always check with your stock controller before using the Req. IST and Add to PO buttons.
