Department Overview

Department Overview

Overview

The Edge POS system utilises an intuitive departmental structure to categorise and manage inventory. Departments are organised based on industry standards, facilitating streamlined operations and management reporting for jewellery and retail businesses.

Important: Departments should NOT be added, edited, or deleted unless discussed with the Retail Edge Consultants Customer Success Team.

Viewing Departments

  1. Navigate to Administrative → Departments.

Administrative → Departments showing the full department list

Primary Groupings

Edge categorises inventory into the following primary item groupings: Ring, Pendant, Bracelet, Earrings, Chain, Gold Other, Opal, Watch, S/S & G/P, Fashion, Loose Stones, Other, Giftware, and Repairs and Remakes.

Each primary group is drilled down further into specific subcategories. For example, Ring includes: Diamond Rings, Coloured Rings, Anniversary Rings, Wedders, and Dress Rings.

Double-clicking any department opens a detailed configuration screen with four tabs: General, Pricing, Details, and Tickets.

Configuration Tabs

General Tab

Department General tab — fundamental department information

The General tab provides fundamental information about the department:

  • Inactive: Marks the category as inactive — it will no longer appear on any list views.
  • Department Name and Number: Used throughout The Edge and all management reporting.
  • Type: The type of items to go into this category (Primary Grouping).
  • Generic Description: A brief description included as part of the suggested description when entering an item.
  • Default Stock # Mode: Allows selection of SKU entry mode:
  • Reuse Stock #: Reuse an existing SKU where the design # and supplier match.
  • Create 1 new Stock #: Creates a new SKU each time and treats the SKU as a bulk item.
  • Create Multiple new Stock #s: Creates a new SKU per quantity entered, treating all items as fine jewellery.
  • Commission Adjustment: Any adjustment to commission for sales of items in this category.

Pricing Tab

Department Pricing tab — markup and markdown settings

This tab is used if you use The Edge’s automatic pricing feature. Here you can:

  • Set multiplication factors for up to four price books based on cost.
  • Utilise the Psychological Pricing feature to round prices attractively.
  • Automatically apply markups or spiffs based on defined criteria.

Automatic Markup

  • Min Cost: The minimum cost threshold for which the following markup applies.
  • Markup: The factor used to calculate the retail price. Entering ‘3’ multiplies the cost by 3.
  • Min Markup: The minimum price at which an item can be sold. Selling below this will require a manager override.

Automatic Markdown

  • Min Days: The minimum number of days for which the markdown applies.
  • Mark Down %: The percentage reduction for markdowns. For example, at 600 days a 30% markdown might be applied.
  • Spiff: A percentage of profit awarded to the employee to incentivise selling older stock.

Details Tab

Department Details tab — category-specific attribute fields

The Details tab allows you to define descriptors that apply only to this category, such as strap type, serial number, or metal type. These fields appear when entering items into this category and can be printed on the tag.

  • Detail Name: The label of the detail field in the item window.
  • Detail Type: Defines whether the field uses a predefined list or a blank text/number field (NUM or TEXT).
  • Required: Forces the user to fill in this field when entering or editing an item.
  • Must Match List: Only allows values from the assigned list (recommended to maintain clean data).

Advanced Options for a detail field

Tickets Tab

Department Tickets tab — customised ticket template

The Tickets tab enables you to create customised templates for item tickets specific to the department. These templates display key information about the stock and can be tailored to your requirements.

  • Media: The type of tag to print. The Edge includes default layouts for each available type.
  • Print: Select to print sample tags and test printer functionality and alignment.
  • Add / Remove: Add or remove fields from the tag template.

Fields can be repositioned by clicking and dragging, or resized using the mouse or arrow keys.
