Overview
This section explains the key fields used when creating or maintaining a stock item in Retail Edge. Accurate completion of these fields ensures correct inventory tracking, pricing, reporting, and website integration.
Basic Information
The Basic Information section defines how the item is identified, supplied, and stored within the system.
Identification and Supplier Details
- Stock # (SKU): The unique stock number assigned to the item. Generated automatically based on the selected department and next available sequential number.
- Supplier: Select the supplier from the drop-down list. If the supplier does not exist, refer to the Supplier Management guide.
- Design #: The supplier’s design or model number. Different from the Stock # (SKU).
- Other IDs: Used to record alternative identification numbers, if applicable.
- Old Stock #: Displays the stock number from a previous system during a conversion.
- ID Codes (four fields): Custom item identifiers configured via Administrative → Lists.
Invoice and Date Information
- Invoice: The most recent invoice number associated with the item. If entering manually without an invoice, use the date in reverse format (e.g. 20240929).
- Date In: The most recent date the item was entered into the system.
Department and Quantity
- Department: Select the department that best represents the item.
- Quantity: The number of identical items being entered at the same time.
- Stock # Mode: Determines how stock numbers are assigned: retain existing, create new, or create multiple (when Quantity > 1).
Allocation and Location
- Allocate: When saving, a window will prompt you to allocate stock to a store location or customer (for Special Orders).
- Location: Indicates where in the store the item is physically located.
- # Tickets: Specifies how many price tickets will be printed for the item.
Stock Classification
- Stock Type: Identifies the type of stock item. Refer to the Stock Types guide for definitions.
- Special Conditions: Used to apply predefined conditions such as Pre-loved, Delicate, or Do not get wet.
Additional Information
This section controls sales behaviour, website visibility, and physical attributes.
Sales and Website Settings
- Website: Tick to make the item visible on your website.
- Spiff %: Sales incentive percentage applied to the salesperson when the item is sold.
- Sale UOM: Unit of Measure for sales. Default is EACH.
Item Attributes
- Metal Weight (Mtl Weight): The weight of the metal component of the item.
- Item Weight: The total weight of the item.
- Lab Grown: Tick to indicate the item contains lab-grown diamonds.
Item Status
- Inactive: Tick when the item is no longer stocked. Inactive items are excluded from reports and searches unless specifically requested.
- Discontinued: Enter a date when you no longer wish to reorder the item. Once Quantity On Hand reaches zero, the item can be marked Inactive.
Pricing Information
Cost and Retail Pricing
- Unit Cost (left-hand side): Enter the cost price excluding GST. Press Tab to populate related fields.
- RRP (right-hand side): Enter the retail price. Click Recalc if automatic markup is enabled.
- Last Sale: Displays the price at which the item was most recently sold.
Special Pricing
- Special Price: Enter a promotional selling price.
- Special Price Start / End Dates: Define the date range. An end date is required for the special price to apply.
Descriptions
- Description: A basic internal description of the item.
- Marketing Description: A more detailed description for website and marketing use.
- Short Marketing Description: A brief product name for labels or online listings.
Stock Quantity View
The Stock # View section displays Quantity On Hand, available stock, and committed stock.
Note: Available + Committed = On Hand. If stock is allocated to a customer, a Details button will appear allowing you to view allocation information.
