Using a consistent naming convention for in-house custom items helps streamline identification, inventory management, and reporting. This guide outlines a structured format to maintain clarity and accuracy in tracking sales and trends.
Naming Format
Product Type – Mount Design - Metal - Centre Stone
Components:
- Product Type: R (Ring), P (Pendant), etc.
- Mount Design: Unique identifier for the mount (e.g., ABC123 or CAD1234). This could be a drawing/CAD number or, if you have pre-purchased a mount, it could be the supplier’s design number.
- Metal: 9KY (9K Yellow Gold), 18KW (18K White Gold), 925 (Sterling Silver), etc.
- Centre Stone: DIA (Diamond), RBY (Ruby), SAP (Sapphire), etc.
Example Naming Conventions:
- Ring with a specific semi-mount design in 9K Yellow Gold with a diamond: R-ABC123-9KY-DIA
- Pendant with a mount cad drawing 1234 in 18K White Gold with a ruby: P-CAD1234-18KW-RBY
Best Practices
- Create Yourself as a Supplier – Assign a unique supplier code for your in-house pieces.
- Consistent Data Entry – Maintain uniformity in naming conventions across all entries.
- Utilise Reporting – At the end of the year, generate sales reports to analyse trends.
- Example: If you sold 4x R-ABC123-18KY-SAP and 6x R-ABC123-18KY-DIA, it indicates that the ABC123 mount was popular, and 18K Yellow Gold was the preferred metal.
