Setup and Using Loyalty Points


Overview

The Edge Loyalty System is designed to encourage repeat business by rewarding customers for their purchases. It drives repeat custom, encourages upselling, and helps retain customers by offering incentives for shopping with you rather than elsewhere.

Additionally, the system helps avoid large discounts while boosting sales and turning one-time buyers into loyal customers.

Set-Up Planning

There are a few things to consider when planning a loyalty points program

  1. When are you looking at starting the loyalty points program
  2. Are you wanting to use Loyalty Cards
  3. How much is a customer required to spend to earn 1 point
  4. How much (as a dollar figure) is 1 point worth
  5. Are all suppliers included in the loyalty point program
  6. Are you wanting to run the same loyalty point accumulation rate for all suppliers
  7. Are loyalty points accumulated if an item is discounted
  8. Are Tax Exempt Sales included in loyalty point accumulation
  9. Are you allowing loyalty points to a decimal place
  10. How many loyalty levels are you wanting to run
  1. If more than one what is the accumulation rate in relation to a base rate.
  1. Eg. If the base rate is 1 point per $100 spent and you have Bronze as the base level, Silver could be 1.5x the base level allowing for the accumulation of 1 point per $75 spent
  1. How do customers redeem loyalty points – Points or Gift Card
  2. Will points expire.

The Edge Setup


To Setup a Loyalty Points Program there are a few places in The Edge

Setting up Base Information

  1. Open Administrative > System Options
  2. Click Search >>
  3. Scroll down the list on the Right and select Loyalty Points
  4. Fill in the System Options on this page as per below:

Whether or not to allow tax free sales to accumulate Loyalty Points

How long is the barcode for Printed Loyalty Cards

Whether to use the Supplier Start date or the base Loyalty Start date for Loyalty Point Accumulation

Values: True or False

Vendor Loyalty Increments Fixed

When True, All Suppliers Loyalty Points accumulations are fixed and equal to the base rate as set at ‘Spent $ per Loyalty Pt.’ option.

Values: True or False

Note: Once a loyalty card has been used do not modify the Loyalty Barcode options as this will render all cards unusable

If you selected ‘CommonPointsGiftCert’ for the Loyalty Pts System option, Scroll down the list on the Right and select “Loyalty Points: CommonPointsGiftCert” and Fill in the System Options on this page as per below

Tip: Gift Cards will not automatically be removed from a customer if the customer returns a loyalty purchase. Points Pool system will adjust the points when refunding

Note: System options do not automatically transfer to all stores. If the client is a multi-store the system options will need to be set at all stores.

Once You have filled all the system options in. It is time to Active the suppliers that are valid for the Loyalty Points Program

Activating Suppliers

To enable loyalty points for specific supplier:

  1. Go to Administrative > Suppliers.
  2. Click Find to produce the entire supplier list
  3. Navigate to the Supplier you are wishing to active
  4. In the Loyalty section of the Supplier card check Enabled to activate the supplier to the Loyalty Points Program

  1. Set the Start date (This is only active if ‘Use Supplier Loyalty StartDate’ in the system options is set to True)
  2. Define the Sale Increments for each supplier. (This is only active if ‘Vendor Loyalty Increments Fixed’ in the system options is set to False)
  3. Click OK/Save and Close

For example, a $100 purchase from a specific supplier could reward 1 point. Repeat this for all suppliers you want to include.

Note: This is your store's Loyalty Program, not your suppliers'. Loyalty points are earned as store credit, and can be applied to future purchases, not just those from loyalty-enabled suppliers.

Managing Loyalty Levels and Rates

To manage loyalty levels, go to Administrative > Loyalty Point Levels, where you can edit, rename, or adjust rates. This is also where you define the expiration period for points.

The screen is split into 2 sections at the top is the Loyalty Levels

Once you have decided how many levels you can setup the Loyalty Levels Here.

  1. In the Top half of the screen click Add

  1. Fill out the Top Right Section as required
  1. Level Name – Common name you are referring this Level to Eg. Bronze
  2. Points Expiry – Are the Points for this level going to expire
  1. If you choose Expires a new box will show up to allow input of months before expiry
  1. The Default Level? – Is this the default level for new customer being added to The Edge
  2. Max Pts Per item – Is there a maximum points that is to be accumulated per item
  1. Once you have filled the top right in the bottom left select the Standard Line
  2. Click Edit
  3. Set the Rate as per your loyalty accumulation rate x base rate

For example, a default rate of 5 means spending $100 earns a $5 reward. You can create multiple levels of loyalty rewards:

  1. start date to a minimum of Tomorrow or select date you wish this rate to begin (You can not choose a date in the past)
  2. Click Accept

Managing Existing Customers

Existing customers can be added to the Loyalty Program by selecting the Loyalty Level from the dropdown menu on the customer card. 

From the POS Screen, 

  1. Find and select the customer on the POS Screen
  2. Click Cust Details 
  3. Navigate to the General tab
  4. Locate the Loyalty Lvl Drop down at the bottom left of the customer information

  1. Drop down the list and select the relevant Loyalty Lvl
  2. If you have Loyalty Cards, you can enter the card number in the Loyalty Crd Field

  1. Click OK/Save and Close

You can also allocate a customer to a Loyalty Level via the Main Edge Screen

  1. Navigate to Customer > Find
  2. Enter your search parameters for the customer
  3. Double Click on the customer in the Grid Screen
  4. The customer card should open directly to the General tab (If it does not navigate to the General tab)
  5. Locate the Loyalty Lvl Drop down at the bottom left of the customer information

  1. Drop down the list and select the relevant Loyalty Lvl
  2. If you have Loyalty Cards, you can enter the card number in the Loyalty Crd Field

  1. Click OK/Save and Close

Viewing and Using Available Loyalty Points

Loyalty Points can be redeemed at the POS during a sale by adding a Misc Sale line. The customer’s available loyalty balance is displayed in their Customer Statistics.

Reviewing Available Loyalty $

  1. In the POS Screen start by entering the sales associate
  2. Search and select the customer
  3. In the business statistics you can see the Loyalty Sales, Used Points and Available $

You can also view history of the customer loyalty transactions by clicking Cust. Details and Navigating to the Loyalty Points Tab

This tab will show historically when and for what points were earnt, when they expire and a running balance.

Using Loyalty Points

Withing the POS screen start the sale as normal 

  1. Select the Sales Associate
  2. Search and Select the Customer
  3. Scan or enter all transactional items

Before processing and tender, check the available Loyalty $ in the customer statistics and ask the customer if they wish to use their loyalty $

  1. To use the Loyalty $ Click MISC Sale from the Transaction Type section
  2. In the Misc Line drop down and Select “Loyalty”

If you do not have this option available, please contact Retail Edge Consultants Customer Success to have this option activated

  1. In the $ field of the Misc Line enter the amount of $ the customer wishes to use of their Loyalty $

  1. From this point finalise the sale as normal by tendering the remaining due and clicking finish
