Overview

Using a consistent naming convention for in-house custom items helps streamline identification, inventory management, and reporting. This guide outlines a structured format to maintain clarity and accuracy in tracking sales and trends.

Naming Format

Product Type – Mount Design – Metal – Centre Stone

Components

  • Product Type: R (Ring), P (Pendant), etc.
  • Mount Design: Unique identifier for the mount (e.g. ABC123 or CAD1234). This could be a drawing or CAD number, or if you have pre-purchased a mount, the supplier’s design number.
  • Metal: 9KY (9K Yellow Gold), 18KW (18K White Gold), 925 (Sterling Silver), etc.
  • Centre Stone: DIA (Diamond), RBY (Ruby), SAP (Sapphire), etc.

Examples

  • Ring with a semi-mount design in 9K Yellow Gold with a diamond: R-ABC123-9KY-DIA
  • Pendant with a CAD drawing 1234 in 18K White Gold with a ruby: P-CAD1234-18KW-RBY

Best Practices

  • Create Yourself as a Supplier: Assign a unique supplier code for your in-house pieces.
  • Consistent Data Entry: Maintain uniformity in naming conventions across all entries.
  • Utilise Reporting: At the end of the year, generate sales reports to analyse trends. For example, if you sold 4x R-ABC123-18KY-SAP and 6x R-ABC123-18KY-DIA, it indicates the ABC123 mount was popular and 18K Yellow Gold was the preferred metal.

By following this naming convention, you can enhance inventory control and make data-driven decisions for future stock planning.
