Overview

The Edge POS system utilises an intuitive departmental structure to categorise and manage inventory. Departments are organised based on industry standards, facilitating streamlined operations and management reporting for jewellery and retail businesses. This manual provides detailed guidance on understanding and navigating the Edge Departments feature. It explains the departmental hierarchy, configuration options, and best practices to maximise efficiency and maintain system integrity.

Edge Departments

To view the departments within Edge, navigate to Administrative > Departments

Primary Grouping

Edge categorises inventory into the following item grouping:

  • RING
  • PENDANT
  • BRACELET
  • EARRINGS
  • CHAIN
  • GOLD OTHER
  • OPAL
  • WATCH
  • S/S & G/P
  • FASHION
  • LOOSE STONES
  • OTHER
  • GIFTWARE
  • REPAIRS AND REMAKES

Hierarchical Breakdown

Each primary group can be drilled down further into specific subcategories. For example:

  • RING
  • Diamond Rings
  • Coloured Rings
  • Anniversary Rings
  • Wedders
  • Dress Rings

Double-clicking on any department opens a detailed configuration screen with four tabs: GeneralPricingDetails, and Tickets.

Configuration Tabs

General Tab

The General tab provides fundamental information about the department, such as:

  • Inactive: Indicates that the category should be considered inactive.  It will no longer appear on any list views.
  • Department Name and Number: The Department Name and Number used through out The Edge and all management reporting
  • Type: The type of items to go into this category. (Primary Grouping)
  • Gender Specification: This can select if a specific gender is assigned to this department (This is a legacy option and is rarely used)
  • Generic Description: A brief description of the items that will be in this category.  This will be included as part of the suggested description that is offered when entering an item.
  • Default Description: The default stock description for when entering new stock (This is a legacy option and is rarely used)
  • Default Stock # Mode: Allows for the selection of mode of entry
  • Reuse Stock #: Reuse and existing SKU where the design # and supplier match, this is a bulk SKU
  • Create 1 new stock #: Creates a new SKU each time this item is entered and treats the SKU as a bulk SKU
  • Create Multiple new Stock #s: Creates a new SKU per QTY entered. Treats all items as Fine Jewellery
  • Commission Adjustment: Any adjustment to commission that might be applied to sales of items in this category.  The default setting of 100% specifies that an associate would receive their full commission percentage as dictated by the commission options on the associate’s record.
  • Qty Measured to: The Decimal places you want to sell to
  • Unit of Measure: Which unit of Measure the items are sold by
  • Each: Each QTY
  • Weight: The physical weight of the item (grams)

Pricing Tab

This tab is crucial if you use Edge’s automatic pricing feature. Here, you can:

  • Set multiplication factors for up to four price books based on cost.
  • Utilise the Psychological Pricing feature to round prices attractively.
  • Indicate certain items based on criteria are automatically marked up or spiff applied.

Automatic Markup

This section outlines the markup applied to items in this category if automatic pricing is enabled. Markup can also be set at the vendor level if required, which will override the category markup. For more information, see Adding a Vendor.

  • Min Cost: For items meeting the specified minimum cost, the following fields apply. These fields, read vertically, form ranges where the markup is applicable. To apply a single markup across the entire category, only the first row needs to be completed. However, this approach is not recommended, as price points on performance reports are derived from this markup table.
  • Markup: The factor used to calculate the retail price. Entering '3' multiplies the cost by 3. For example, if the cost is $50, the retail price would be $150 ex GST. This markup can be adjusted for individual items at the time of entry.
  • Min Markup: Specifies the minimum price at which an item can be sold. Attempting to sell below this price will prompt a manager override. For instance, entering '2' means a $50 item retailing for $150 ex GST cannot be sold for less than $100 ex GST without approval.

Automatic Mark Down

This section defines markdowns to be applied to inventory based on its age to reduce older stock. Markdown is only applied if an inventory repricing is initiated. See Re-cost and Re-price items for more information.

  • Min Days: The minimum number of days for which the markdown applies. These fields, read vertically, form ranges where the markdown is applicable. At 540 days, approximately a year and a half, we recommend applying a spiff. More details below.
  • Mark Down %: The percentage reduction for markdowns. For instance, at 600 days, a 30% markdown might be applied. This means a $50 item retailing for $150 would now retail for $105.
  • Spiff: A spiff, or percentage of profit, is applied to incentivise the sale of items in the category. At 540 days, we recommend entering '50' as the spiff. This awards the employee a bonus of 50% of the profit generated. For example, on a $50 item sold for $150, a spiff of 50% would provide the associate $50, which is half the $100 profit.

If commissions are paid, the higher value between the spiff and commission will be awarded, but not both. Using the spiff field also ensures the item appears on Bonus Posters for associate reference.

In-Case Signage

Signs displayed alongside markdown items are printed as described in the section Printing Signage and designed as detailed in Sign Formats. These signs help highlight markdowns and attract customer attention.

Details Tab

The Details tab allows you to provide the category with descriptors that apply only to it, such as the kind of strap on a watch, serial number, metal type, etc.

These details will appear as fields when entering items into this category.  Additionally, any detail created here can be printed on the tag.  There are two groups of details, Group 1 and Group 2 to accommodate items that may have two parts, such as a pendant and chain.  In each group, fields include:

  • Group Name: Optional.  Allows you to label the detail columns in the Item window.
  • Detail Name: The label of the detail field in the Item window.
  • Detail Type: This defines whether the descriptor includes predefined choices derived from a list or if it will provide a blank field in which to type in the desired data when entering the item.
  • To use a predefined list, click the dropdown and select the list name.  For information on creating these lists, see Creating and Managing Lists 
  • Selecting either NUM or TEXT from the Detail Type drop-down menu will allow free text fields.  NUM will only allow you to enter numbers while TEXT will accept any characters. 

Advanced Options/More

Clicking more will open the Advanced Options dialog. This dialog defines data characteristics.  Its contents may vary based on the type of data defined above.

Fields in the Detail Advanced Options Screen include:

  • Min: The Minimum value allowed in this box (This is only active when Detail Type is NUM)
  • Max: The Maximum value allowed in this box (This is only active when Detail Type is NUM)
  • Increments: What is the allowable increments in this box, e.g. 10 means the number can increase by lots of 10 (This is only active when Detail Type is NUM)
  • Required: Forces the user entering or editing an item in this department to fill in this field
  • Web Required: Forces the user entering or editing an item in this department to fill in this field if website is checked
  • Variant Required: Forces the user entering or editing an item in this department to select a variant for this item
  • Must Match List: If checked only allows for Values in the list assigned in the detail type to be selected (Recommended to be checked to maintain clean data)
  • Multi-Value: Allows the users to select multiple list items for this detail
  • Exclude from SO: Removes this detail from the Special Order screen
  • Suffix: Adds a suffix to the value in this detail
  • Always Add Suffix: Forces the addition of the suffix in all areas of The Edge and eWeb
  • Storage: drop-down menu to select the storage location in the database for the data, Values might include: 
  • itStyle

You can use the Copy From… option for any particular tab to import that tab information from another category.  You can also use the Defaults option to load default category information.




Tickets Tab

The Tickets tab enables you to create customised templates for item tickets specific to the department. These templates display key information about the stock and can be tailored to your requirements. Retail Edge Consultants can assist in setting up these templates to ensure they meet your business needs.

Ticket Tab Fields and Buttons: 

  • Media: The type of tag to print.  The Edge comes with default layouts for each available type. 
  • Outlines: Shows outlines on the screen while the tag is being composed.  Outlines are never printed and should be enabled while manipulating the tag layout.
  • Print: Select to print sample tags.  Also useful for testing the functionality and alignment of a tag printer.
  • Details of Selected Tag Field: Shows the details of the selected tag field.  The fields are described below in Section 4.2 – Details of Selected Tag Field.
  • Previous: Goes to the previous field on the tag.
  • Next: Goes to the next field on the tag.
  • Remove: Removes the field from the tag.
  • Add: Adds a new field on the tag.

Details of Selected Tag Field

Use the Details of Selected Tag Field fields to change the data in each field.  You can remove or add fields by using Remove or Add and work in the details fields to populate them.

Fields in the Details of Selected Tag Field Include:

  • Type: The Type of data for this field (Text or Barcode)

Note: The Edge Uses Barcode 128 for tickets. Only older scanners require the other barcode types (EAN13 and I2of5)

  • Left: The margin for the left side of the tag field.
  • Top: The margin for the top of the tag field.
  • Width: The width of the tag field.
  • Height: The height of the tag field.
  • Font: The font and styling to be used.
  • Align: The horizontal and vertical alignment or the wording (i.e., Top Left, Top Right, Top Centre).
  • Rotate: Preferred text orientation inside the Tag Field (Horizontal or Vertical)
  • Prefix: Any text that should appear at the beginning of the field.
  • Only if Data Present: Indicates that the prefix should only appear if data is present.  Otherwise, that part of the tag will be blank.
  • Data: Select the data to display in this field on the tag.  

Note: In addition to the default choices, any details added on the Detail tab will appear as valid data choices.  These can be found at the end of the list.

  • Sample: For the purposes of a preview on this screen, how data of that type might appear.
  • Format: For any data type, the format in which it should appear. 
  • Parameter: Any additional information required in formatting the field, for example, the letters to be used in a cost code.
  • Postfix: Any text that should appear after the data.
  • Only if Data Present: Indicates that the postfix should only appear if data is present.

In addition to changing data, you can modify the positioning of fields on the tag with your mouse by clicking and dragging to its desired position or by using the arrow keys on your keyboard.  Also, you can resize the fields on the tag.  Move your mouse to the right side or bottom of the tag field.  When your mouse cursor turns into a double arrow, click and drag to resize the field in the specified direction.  This can be done with the keyboard by holding the shift key and using the arrow keys.
